The challenging situation with the Covid-19 pandemic continues. We are doing everything we can to support our customers’ operations throughout this challenging situation, all the while following the guidelines and regulations, keeping our own people and theirs safe. We would like to thank our customers for doing business with us.

 

Our priority is to ensure the health and well-being of our colleagues, customers and business partners, their families, and our local communities, as well as to safeguard customer support and business continuity. Our operations continue to focus on safeguarding the availability and the supply of spare parts, rock drilling tools and other essential products in order to support customers’ operations.

 

For our operations, there is an increased risk of disruptions in our supply-chain and in transports, even if there are limited impacts at this time on our sourcing, manufacturing, transports and service operations. 

 

We need to continue following the recommendations, paying attention to physical distancing, washing our hands and not meeting people if we experience any symptoms. In addition, let us continue to keep in touch, collaborate and support each other in these challenging times as we have 

done so well so far.

 

Recommendations, guidelines and travel restrictions

 

The number of daily deaths continue to be at record high levels, but since last week the number of daily cases globally has decreased. Still, it is not the time to become complacent regarding routines and recommendations. We follow the recommendations from the World Health Organization (WHO), to ensure we do what we can to limit the spread of the virus. Also, we follow the recommendations from the local authorities and our headquarters in the US and the service centers throuhout the are setting and communicating the local guidelines, such as quarantine regulations and working from home. The Covid-19 pandemic remains very serious and picking up speed again. A new wave is hitting Europe with record numbers of daily cases, which in turn means an increase in restrictions. We continue to see new cases within Epiroc USA, too.

 

Despite the increase in new cases, our operations Epiroc USA remain stable and we have a strong focus on business continuity. However, the situation is fragile; we are reviewing and updating the contingency plans to prepare for the new challenges.

 

We continue supporting our customers to the best of our ability, prioritizing health and safety, monitoring the situation closely, and adding precautionary measures when required. With the Thanksgiving season coming up,  we encourage everyone who is travelling for social events and will be attending large gatherings to self-quarantine for 14 days upon return to work and avoid direct contact with customers and coworkers.  Please check with your manager regarding specific local requirements. We must all ensure we do what we can to limit the spread of the virus. 

 

As we enter what news outlets are calling the “Third Wave” of COVID-19 outbreaks in the US, Epiroc USA is endorsing the following requirements for all facilities and all employees:

 

·         Face coverings are required whenever employees are not alone, in a conference room with other people or whenever moving about an Epiroc facility for any reason (restroom, entering and leaving, etc).

 

·         Face coverings may be removed while at a work station only if there are no other employees working nearby or within 6 feet at another desk or work station. If this distance is not possible the face covering must be worn.

 

·         Face coverings may also be removed when eating/drinking or if other required PPE (such as a welding hood or face shield) interferes. In those cases however you should still maintain at least 6 feet apart and put your face covering back on as soon as possible.

 

·         When employees are travelling in a vehicle together (for a service call, to meet a customer, etc), they will be required to wear a face covering. Employees travelling together should be limited where possible.

 

When in use, face coverings must cover the nose and mouth per proper usage of the face covering. 

 

Our corporate office in Broomfield, CO and customer center in Brighton, CO have moved to 10% employee capacity at a time, until further notice. 

Health and Safety remain Epiroc's top priorities.

The Epiroc Home Covid-19 update is back. Since the last update from mid-July, the number of infected has almost doubled from 13 million to 24 million globally. The number of confirmed cases and the number of deaths due to the virus remain high. The Covid-19 pandemic is still serious, very serious. We need to maintain a high level of safety awareness and not get complacent regarding the recommendations to wash our hands, to keep a physical distance from each other and to stay home if we have flulike symptoms. To keep ourselves and the people around us safe, we will continue to follow the recommendations from WHO and local authorities.

 

Globally, all Epiroc manufacturing facilities are open. Our customer centers and distribution centers are operational, with only a few exceptions, continuing to support our customers with service, spare parts, consumables and other essential products. We also see that the situation for sourcing and supply-chain is stable. The main priority for our operations in the US is to safeguard the availability and the supply of spare parts, rock drilling tools and other essential products in order to support customers' operations. 

 

Epiroc USA is closely monitoring the situation and our priority is to ensure the health and well-being of our colleagues, customers and business partners, their families, and the local communities we are a part of, as well as to safeguard customer support and business continuity.

 

We follow safety regulations and guidelines to limit the spread of the coronavirus. Most of our offices, warehouses, workshops and facilities are operational, even if the capacity may be reduced and some of our staff are working from home. FOCUS ON SAFETY AND BUSINESS CONTINUITY IN THE USA

Transport and Global Operations

 

From a global perspective, while there is still some impact from the pandemic on global logistics and transportation, all Epiroc facilities worldwide have resumed production. 

Epiroc Customer Centers and Distribution Centers remain operational and we have Crisis Committees and Task Forces in place to continue monitoring the global situation. So far there has been little impact on our US operations; however, we are monitoring logistics and inventories daily to keep our commitments to our valued customers.

 

Working schedules

 

The US Customer Center will be phasing in a limited re-opening of all of our offices.  Note: All federal and local regulations will continue to be adhered to during this process.

 

Beginning Monday May 11, 2020 we started to re-open our facilities nationwide on a limited basis insuring each employee understands that we continue with the approach to work “Safer at Home”. It means that only employees who have a justifiable reason to come in to the office will be allowed to do so. For those who are able to continue to work from home the expectation is that they will do so until further notice.

 

Preventive steps are (but not limited to) the following:

 

1.       Morning/daily arrival window is established. Upon arrival to a facility employees undertake a simple health screening questionnaire and have temperature taken.  

2.       6 ft. social distancing will be maintained at all times. 

3.       Smaller conference rooms and other communal amenities are not available or will have extremely limited capacity. Signage is placed at all rooms notating any restrictions.

4.       Personal Protective Equipment such as facemasks and gloves is available to all and it is highly encouraged to utilize them.

Actions taken within Epiroc USA to manage risk related to COVID-19

 
  • All air travel will be limited to business essential travel only. International travel must be approved by a Divisional President and domestic travel must be approved by a Business Line Manager;
  •  Any employee that has returned from travel, whether for business or pleasure must work from home for 14 days and follow the Epiroc Return-to-Duty process;
  • Epiroc USA employees who have laptops, and are able to do so, have been advised to work from home until further notice; the return to work for office personnel is currently at limited capacity limiting personnel to only essential roles that enable business continuity where possible (warehouse, service, etc.);
  • Sales representatives have been asked to limit travel, even by vehicle, and hotel stays to essential travel only and to ensure that customers/partners will accept face to face meetings before they are scheduled – most business should be done through the various technologies available (Phone, WebEx, Skype, etc.);
  • Employees whose roles still require them to travel to an Epiroc or customer facility, including warehouse personnel and service technicians, have been asked to focus on safety first by limiting person to person contact, maintaining space between people of at least 6 feet, and perform regular hand washing;
  • Non-Epiroc visitors to any Epiroc facility will be asked to complete a screening checklist before they will be allowed on-site. Visitations deemed as non-essential will not be permitted to Epiroc facilities.

FOCUS ON SAFETY AND BUSINESS CONTINUITY

 

For the last few weeks, our company’s focus was stronger than ever on keeping our employees safe while maintaining business continuity. We have taken several actions to ensure the safety of our employees and to keep our business running. Currently, all of our US Service Centers are operational at reduced capacities in the office, with many people working from home, currently until April 30th, to maintain the safety and health of our workforce.  We are also complying with the specific Shelter-In-Place orders that have been rolled out in the states where we operate. If you need Epiroc support, we are here for you and will coordinate with you and your teams to ensure all work is done safely and keeps employees healthy.

 

Transport and Global Operations

 

From a global perspective, we have seen some impact from the pandemic on our global operations. Several countries have implemented tight restrictions, lockdowns and many critical suppliers have temporarily stopped work.

While most Epiroc facilities remain open, some outside the US have had to close due to government lock-downs in certain countries. Most Epiroc Customer Centers and Distribution Centers have remained operational and we have Crisis Committees and Task Forces in place to manage the global situation. So far there has been little impact on our US operations; however, we are monitoring logistics and inventories daily to keep our commitments to our valued customers.

 

Working schedules

 

As we look to the future, we are committed as a supplier to the Mining and Construction industries for the long run. Our goal is to be prepared to return to normal work levels as quickly as possible – even if the definition of “normal” is slightly different than it was before. To that end, we are working hard to safeguard the jobs of our employees through this crisis. We know that when business returns you will need a committed partner and we want to be that partner. Our employees are key to fulfilling on that commitment.

Due to the changes that the market is experiencing and to help continue safeguarding our employees, Epiroc USA will go to a 4-day work week effective Monday, April 13th.

Our focus will be on doing this without sacrificing our level of service to the customers. Locally, Service Center Managers will adjust the schedules to be available for customers during regular working hours, alternating the shifts where needed. As soon as business stabilizes and begins returning to the new normal, we will reinstate the 5 day work week at full capacity.

We are monitoring the situation with shelter-in-place orders and, where we have operations that may be affected, we are working to understand and comply with the requirements of the order. The shelter-in-place orders can vary from state to state and even from county to county, so we will take each order where one of our operations is impacted on a case-by-case basis. As of Monday, March 23, our locations are open and operating on work from home/social distancing where possible. Critical operations have only essential staff on premises, observing social distancing.

The coronavirus (COVID-19) has had an impact in nearly all of the countries where Epiroc has operations. Epiroc is closely monitoring the fast-changing situation around the spread of the novel coronavirus (COVID-19). We have activated crisis committees and set up dedicated task-force teams throughout the organization and are taking decisive actions to protect our employees’ health and wellbeing.

 

We are focused on helping to maintain business continuity with our customers throughout this challenging situation. At the moment, we do not have any major disruption in our operations. At the end of this letter you will see an executive summary of actions we have taken so far.

 

Our main priority for the operations is to safeguard the supply-chain and the availability of spare parts, rock drilling tools and other essential products. We currently have all our distribution centers operational with inventories to support your operations.

 

Due to restrictions on travelling and our focus on protecting our and your employees’ health, our capacity to provide on-site services may be impacted. When we have on-site contracts, these are continuing as before. Service visits will be arranged when necessary in collaboration with your operations, with necessary approvals and health precautions from both sides. In addition, we will continue to support you via telephone or digital tools. Our service organizations have been instructed to ensure they understand any new health/safety protocols you may have put in place prior to being dispatched to your operation.

 

Our detailed analysis of our suppliers indicates that the vast majority of them are currently operational. Sourcing is in continuous contact with our suppliers to ensure availability and to identify potential risks. We are working with alternative suppliers as back-up.

 

Transport and logistics are impacted by the coronavirus, with reduced capacity and increased costs. We have a task force team working with our logistics partners to ensure logistics capacity and at this time, the situation is manageable. Within the US we have seen this impact primarily on the East Coast but expect to see continued impact throughout the country. We will continue to monitor and work through our task force to manage transport and logistics bottlenecks.

 

All of our manufacturing facilities are fully operational at this time. Our production in China has been impacted by the closures during January and February, but returned to operation in mid-February and continue to operate today. We have some delays in deliveries from the China operations, but the situation is improving.

 

Any delays to promised dates for the supply of spare parts, rock drilling tools, components and equipment will be communicated directly to the affected customer via routine communications from our Customer Center team.  We are also prepared to work closely with you to help forecast and plan for your future needs and assure we have the right items in our planning pipeline.
